Abstract Reviewing Status

  • Closing Date for Oral Selection now passed
    - Submissions for poster presentation still being accepted
  • Reviewing for Poster Presentation - still ongoing
  • Selection for Oral Presentation - still ongoing
  • Workshops Complete (i.e. All Oral Invitations Accepted) - none yet

After the closing date (21 June 2008), up to six abstracts will be selected for oral presentation at each of the HGM2008 Workshops. All abstracts accepted for poster and/or oral presentation will be included in the meeting programme book, and will be published on the meeting web site after the meeting.

Key Points to Remember

  • Abstracts must be submitted using the on-line form. e-Mailed abstracts will NOT be accepted.
  • Abstracts must be in English.
  • Presenting Author must be first author.
  • You may be presenting author on only 1 abstract. You may be co-author on any number of abstracts.
  • The presenting author must fully register, and pay in full, before the abstract booklet is printed or the abstract will not be included. Deadline for registration to ensure abstract inclusion will be announced.
  • The Contact Author will be sent ALL e-mails and communications about the abstract, and therefore should normally be the first/presenting author.
  • Please ensure your e-mail address is valid - it is the only means we will use to contact you. Also, we cannot be responsible for e-mails which are deleted/rejected by your mail server as SPAM (Unsolicited Bulk e-mail). Spam checkers should never do more than tag messages, and then allow the recipient to decide how to deal with them. If your system deletes Spam automatically, and may be deleting false positives in error, take it up with your systems administrator.
  • NEVER submit an abstract more than once - even if you find errors. See the If You Find Errors After Submitting... section below, for instructions on correcting abstracts.

If You Find Errors After Submitting...

Minor Errors
DO NOT RESUBMIT your abstract - contact abstracts.hgm2008@hgu.mrc.ac.uk. We will endeavour to make MINOR corrections if possible. Please specify minor corrections to be made - do not send an entire abstract by e-mail which then has to be reformatted. The abstract coordinator reserves the right to request withdrawal and resubmission if the changes are more than minor.
Major Changes
If your abstract requires major changes you should request withdrawal by e-mailing abstracts.hgm2008@hgu.mrc.ac.uk (quoting Submission Number and Access Key), and then resubmit your new abstract which will be reviewed again.

Plenary and Symposium Speakers: Please submit using the forms on the Invited Speakers page. You should have been supplied with a username and password by the HUGO office.

Other delegates: Please submit using the form below.

  • When you submit your abstract you will be assigned a Submission Number after a few moments (depends on how busy the server is, and how fast your network connection is) which will be displayed on your web browser and e-mailed to the Contact Author
  • You will also receive by e-mail an Access Key which may be required if you wish to check the status of your abstract, or to request withdrawal.
  • If you do not receive a Submission Number AND do not receive a confirmation e-mail within 24h, it is likely that your submission has been received, but you should e-mail abstracts.hgm2008@hgu.mrc.ac.uk to check if re-submission is necessary. ** DO NOT RESUBMIT UNTIL YOU HAVE CHECKED WITH THE ABSTRACTS COORDINATOR **

Example Forms

Choosing a Workshop for Your Abstract

Abstracts should be submitted to one of the workshops listed on the Workshops Programme page. Your abstract may fit into more than one workshop topic, so you may choose whichever you think an appropriate Workshop for your abstract. You can make your actual choice of Workshop from the list on the abstract submission form.

Selection for Poster Presentation

Abstracts will be peer reviewed as quickly as possible and the Contact Author specified on the submission form will be notified by e-mail if the abstract has been accepted or rejected for a Poster Presentation. Abstracts will also be reviewed by the HUGO Gene Nomenclature Committee for the use of approved gene symbols. See adjacent information on this page.

Selection for Workshop Oral Presentation

After the closing date, all abstracts which have been accepted for Poster Presentation will be reviewed by Workshop Chairs, and up to six abstracts selected for Oral Presentation at each Workshop Session. Contact Authors will be notified by e-mail if their abstract has been chosen for Oral Presentation, and they should accept or reject the offer as soon as possible.

Please note: if your abstract is selected for Oral Presentation you must still present a poster - this allows delegates attending concurrent workshops an opportunity to discuss work with the author(s).

HUGO Gene Nomenclature

HUGO Gene Nomenclature Committee Logo Authors should use HUGO approved gene nomenclature in their abstracts and posters. Please check your genes via the Human Gene Nomenclature Database of approved symbols. If you cannot find your gene symbol then please complete a gene symbol submission form. Any information submitted will be treated in the strictest confidence.
